Engineering Coordinator

They are seeking an Engineering Coordinator to support the day-to-day operations of the Engineering Department, assisting with budgets, regulatory inspections, and project management while collaborating with various departments to ensure smooth operations. Responsibilities Support the Engineering Manager and their team members with budgets, spreadsheets, vendors, scheduling meetings, appointments, and departmental activities Maintain the department’s filing system, ensure Engineering data systems are up to date and maintained in accordance with department goals, ensuring that all technical documentation, maintenance records, and project files are up-to-date and easily accessible in the system. Prepare spreadsheets and budgets as required Manage correspondence related to engineering activities, vendor compliance and training, including emails, phone calls, and other communications Prepare and process engineering documents, including reports, work orders, and technical specifications, data entry for Sinex and HELM Track and report the status of ongoing maintenance projects, McAllister's Oil sampling program, vessel inspections, repairs, and any corrective actions using the Company’s maintenance management system (Sinex) Ensure that all required compliance documentation is completed accurately and submitted on time Assist in managing the department's inventory of tools, equipment, and materials required for vessel operations and repairs Coordinate with vendors and suppliers to order parts and supplies, track shipments, and ensure timely deliveries, while building a data base of inventories Coordination of engineering projects, vessel maintenance schedules, and budgets Maintain project timelines, budgets, shipyard bids, and communicate status updates to stakeholders Track projects, material costs, and other resources for various engineering initiatives updating spreadsheets and reporting results versus planned budget Assist with coordinating routine maintenance schedules for the fleet of tugboats and other vessels, ensuring compliance with industry standards and regulations Maintain records of inspections, repairs, and certifications for all vessels and machinery Provide administrative support for safety programs, training sessions, and regulatory audits Handle ad-hoc requests from the Engineering Department and other company departments Skills High school diploma or equivalent required Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems Strong emphasis on Excel spreadsheets and formulas Strong verbal and written communication skills Ability to interact professionally with engineers, vendors, and other stakeholders Exceptional attention to detail Organizational skills Financial knowledge Ability to multitask and prioritize responsibilities effectively Ability to independently solve problems and think critically in dynamic environments Associate's Degree in Business Administration, Engineering, Finance, or a related field preferred Familiarity with or experience using Sinex and HELM platforms, or similar marine maintenance and operations software platform, is highly preferred Experience working in the marine transportation industry, especially within a tugboat or vessel management environment Previous experience handling document control and ensuring compliance with regulatory requirements (e.g., Coast Guard, ABS certifications) Experience supporting or assisting with the management of engineering or maintenance projects, including scheduling, tracking, and reporting Experience in inventory management, particularly in managing technical or engineering-related materials, parts, and supplies Company Overview McAllister Towing is a maritime company specializing in bulk transportation services.
