Description: Executive Assistant – Part Time, Remote Remote (U.S. based) Part-Time (10-20 hours per week, with flexibility) Hourly or monthly retainer, commensurate with experience Position Overview - We are seeking a highly organized, proactive Executive Assistant or Virtual Assistant to provide administrative and operational support to a financial advisor within an independent wealth management practice. This role is focused on time management, organization, and task execution, allowing the advisor to stay focused on clients and strategic priorities. This position is intentionally designed to be process-driven and highly replicable, making it well-suited for a virtual assistant or administrative support professional who thrives in structured workflows and can adapt to changing priorities. Responsibilities Email & Communication Management • Monitor and triage the advisor’s inbox, prioritizing and flagging time-sensitive items • Draft and send routine client communications as directed • Organize email folders and maintain inbox hygiene • Escalate client-related or urgent matters to the Client Associate as needed Calendar & Scheduling Support • Manage the advisor’s calendar, including scheduling client meetings, internal meetings, and personal appointments as appropriate • Coordinate logistics for client meetings (virtual or in-person) • Confirm meetings, manage reschedules, and send reminders Administrative & Task Support • Assist with meeting preparation (agenda creation, document coordination, follow-ups) • Track action items and ensure tasks are completed on time • Maintain internal task lists and workflows • Handle general administrative requests as they arise Client Touchpoints & Experience Support • Coordinate non-advisory client touchpoints (birthday cards, holiday communications, meeting reminders) • Assist with client follow-up communications that do not require deep relationship knowledge • Support consistency in client experience through timely communication Process & Workflow Management • Follow established administrative processes and documentation • Assist in creating, refining, and documenting workflows to improve efficiency • Ensure repeatable tasks are executed consistently and accurately Requirements: Ideal Candidate Profile • Prior experience as an Executive Assistant, Administrative Assistant, or Virtual Assistant • Strong organizational and time-management skills • Ability to manage multiple tasks with competing priorities • High attention to detail and follow-through • Comfortable working remotely and independently • Clear, professional written communication skills • Tech-savvy with the ability to learn new systems quickly Apply tot his job
