Job title: Special Events Assistant Company: Hobby Lobby Job description: Job Description - Overview The Special Event Assistant to the Executive Team helps maintain an efficient and productive office environment. Providing special event support. This is a part-time position located at our corporate offices in Oklahoma City and no relocation assistance is provided. Out of state and freelance work are not available for this position. KEY RESPONSIBILITIES: • Assists by facilitating details given by the Executive Assistant & Special Projects Manager • Conducts research and prepares documents and correspondence • Maintains event databases, timelines and files • Conducts vendor and venue research and bookings for special events • Serves as liaison with vendors on event-related matters • Helps coordinate special events on location • Performs work-related errands as needed • Maintains a clean and orderly work station • Follows all Art/Creative safety policies and procedures including the proper use of PPE (Personal protective equipment). • Adapts to additional duties and tasks • Contributes to team effort by fulfilling responsibilities with a positive attitude Job Description - Requirements • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors with exceptional interpersonal skills • Highly resourceful with strong follow-through • Exemplifies patterns of reliability, honesty, loyalty, maturity, accuracy and integrity • Ability to maintain confidentiality • Keen ability to adapt to change • Excellent attention to detail • Strong analytical and problem-solving ability • Strong organizational and project management skills • Strong time-management skills • Strong written and verbal communication skills • Ability to work well alone or with a team • Strong desire to succeed • Ability to accept and apply critique and feedback • Basic Mac skills • Strong Internet research skills • Intermediate Microsoft Office skills • Ability to operate effectively in a fast-paced, deadline-driven environment • Ability to perform all Key Responsibilities with or without accommodation • Ability to perform job duties at the corporate office in Oklahoma City (Accommodation for location flexibility, such as telecommuting is not available) EDUCATION AND EXPERIENCE: • Post-secondary degree preferred • Prior special events coordination experience Hobby Lobby Stores, Inc., is an Equal Employment Opportunity Employer.
