Part-Time Executive Virtual Assistant (Self-Starter with Growth Potential) – Contract to Hire

We are a Landscaping Design and Construction Company seeking a proactive, organized, and highly motivated Executive Virtual Assistant to support our senior leadership team. The ideal candidate is a self-starter who thrives in a fast-paced environment, can work independently without constant supervision, and is eager to take on more responsibility over time. Key Responsibilities:

– Manage and organize executive email inboxes, ensuring prompt responses and prioritizing key communications.

– Schedule and coordinate calls, meetings, and appointments, keeping multiple calendars running smoothly.

– Serve as the point of contact for internal and external communication, ensuring timely and professional interactions.

– Handle various administrative tasks such as document preparation, file organization, and data entry.

– Take ownership of assigned tasks, from start to finish, with minimal direction.

– Support senior-level executives with daily operations and long-term projects, providing administrative backup as needed.

– Assist with team coordination and follow-up on project deliverables.

Required Skills:

– Proven experience as a Virtual Assistant or in a similar executive administrative role.

– Ability to work independently, prioritize tasks, and manage time efficiently.

– Strong organizational skills with the ability to handle multiple tasks and meet deadlines.

– Excellent communication skills, both written and verbal, in English (Spanish is a plus).

– Flexibility to adapt to shifting priorities and a willingness to learn new skills.

– Self-starter mentality with a focus on getting things done efficiently.

Preferred Skills:

– Bilingual (English and Spanish).

– Experience with Google Suite (Docs, Sheets, Drive).

– Familiarity with Buildertrend and QuickBooks Online (QBO).

– Project management experience.

– Experience in the construction or landscape industries.

Work Hours & Commitment:

– This is a remote, part-time or full-time position, with the potential to grow into a larger role.

– Flexibility in working hours is essential, with occasional availability required outside standard business hours (Pacific Time).
