Supply Chain Administrative Assistant
We are seeking a detail-oriented Administrative Professional to support a critical document organization and migration initiative within a dynamic operations environment. This role will focus on preparing, organizing, and standardizing departmental documents for migration into a Contract Lifecycle Management (CLM) system. The ideal candidate is highly organized, technically proficient, and comfortable managing large volumes of documentation while ensuring accuracy, consistency, and alignment with company standards.
Responsibilities
• Organizing department SharePoint files in preparation for migration into CLM system.
• Compiling documents for upload into CLM system and preparing metadata; may include extracting documents from the Oracle ERP system.
• Re-filing and naming documents to align with the department's document filing and naming conventions.
• Re-formatting documents to align with company branding requirements.
• Creating document control logs for procedures, standards, and templates.
• Miscellaneous administrative tasks as assigned.
Ideal Experience
• 3-5 years of administrative experience, preferably with experience in Document Control.
• Experience in mining, energy, or heavy industrial environments would be an asset.
• Exceptional communication skills, both written and verbal, with the ability to interact professionally and confidently, and able to manage sensitive communications with discretion and clarity.
• Outstanding organizational skills, with the ability to manage multiple priorities, coordinate complex schedules and logistics, and maintain accuracy and attention to detail in a fast-paced environment.
• Strong proficiency in Microsoft programs (Word, Excel, Teams, Outlook, SharePoint)
• Proficiency with Visio would be a benefit.
• Experience with the Oracle ERP system.
