Job Description Summary:
Position Summary:
The Volunteer & Membership Coordinator supports the Muscarelle Museum of Art's volunteer & membership efforts by assisting with membership and donor stewardship initiatives, coordinating volunteer and membership activities, and providing general support for the volunteer and membership programs. This role works closely with staff to ensure smooth coordination of volunteer schedules and provides administrative and communication support to strengthen volunteer and member relationships with the Muscarelle Museum of Art.
Key Responsibilities:
Volunteer Coordination
• Coordinate volunteer schedules in collaboration with staff across departments.
• Assist with volunteer recruitment and onboarding efforts.
• Help organize and facilitate volunteer training sessions and orientations.
• Troubleshoot volunteer issues or schedule conflicts as needed.
• Support volunteer stewardship programs, recognition activities, and appreciation events.
Membership Coordination
• Assist with the processing and tracking of memberships.
• Respond to and troubleshoot membership inquiries by phone, email, or in person.
• Help maintain accurate and up-to-date mailing lists for membership solicitations and communications.
• Assist in preparing membership listings for publication (e.g., magazines, newsletters, or reports).
• Support planning and execution of membership and donor appreciation events.
Administrative Support
• Maintain accurate volunteer and membership records in organizational databases.
• Prepare reports or summaries related to volunteer hours, membership activity, and engagement metrics.
• Collaborate with other departments to ensure a positive volunteer and member experience.
Job Description:
Required Qualifications:
• High school graduate or equivalent.
• Excellent interpersonal, organizational and time management skills.
Preferred Qualifications:
• Interest in the arts.
• Experience in a higher education or non-profit work environment.
• Experience in a customer service-related environment.
• Experience working with volunteers.
Conditions of Employment:
• All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked may not exceed, on average, 29 hours per week, over the course of a twelve-month period beginning May 1 each year.
• This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
Duties:
40% Volunteer Coordination:

40% Membership Administration:

• Help maintain accurate and up-to-date mailing lists for membership solicitations and communications.
• Assist in preparing membership listings for publication (e.g., magazines, newsletters, or reports).
• Support planning and execution of membership and donor appreciation events.
20% Administrative Support:
• Maintain accurate and up-to-date volunteer and membership records in organizational databases.
• Prepare reports or summaries related to volunteer hours, membership activity, and engagement metrics.
• Collaborate with other departments to ensure positive volunteer and member experiences.
